TITLE: Executive Coordinator to the President/CEO
JOB SUMMARY: The executive coordinator is a member of the executive team that directly supports the president/CEO of ITVS. The environment is fast-paced, high performing and demanding. The ideal candidate will have experience supporting C-level executives, the ability to anticipate needs and respond proactively and top caliber administrative skills to organize, prioritize and manage competing interests for the president. The coordinator will possess considerable tact and judgment in negotiating the president’s affairs, serve as liaison to ITVS’s board of directors and enjoy being the right-hand person to the president.
RESPONSIBILITIES:
Assisting the President- Managing a busy executive calendar, including directly contacting internal and external targets, coordinating a full schedule of meetings, conference calls, and business appointments as well as keeping the president well informed of upcoming dates and deadlines
- Providing excellent and expeditious customer service on the president's behalf to senior management, administrative staff members, executive-level media partners and funders and key external stakeholders
- Organizing domestic travel itineraries, including arranging point-to-point transportation, booking hotel accommodations and researching directions as needed
- Providing complex administrative support and assisting with a wide range of special projects, including copy editing and proofreading all documents and correspondence, disseminating the annual staff survey and supporting outside consultants as required
- Tracking grant reports and proposals, travel budgets, institutional events and deadlines and maintaining additional calendars as requested
- Creating, organizing and maintaining electronic and hard copy files
- Providing logistical support, coordinating catering and setup/clean up for the president's meetings
- Formatting, layout and copy editing of documents
- Planning/Coordinating ITVS board meetings (three per year), including travel, hotel and expense reimbursements
- Gathering data and reports, tracking progress, assembling and copyediting materials for board books required for each meeting
- Planning/coordinating board committee conference calls and taking notes as needed
- Serving as the point person for all board inquiries and requests
- College degree
- Stable work history with five years of administrative support experience
- Advanced knowledge of Microsoft Outlook, Word, and Excel (Experience with PowerPoint, Creative Suite, File Maker Pro, and InDesign highly desirable)
- Self-starter with the ability to learn new concepts quickly
- Professional, collegial and mature work ethic
- Customer service experience highly desirable
